This policy explains what information we collect when you visit omindyourbody.com or book a session with us, why we collect it, and what we do with it. We have written it in plain language rather than legal shorthand, because the information you share with us is personal and you deserve to understand how it is handled.
Who we are
O Mind Your Body is a wellness practice owned and run by Dhwani Mahendra Gala, operating from Bandra West, Mumbai. When this policy says “we” or “us”, it means that practice. Our contact details are at the end of this page.
What we collect
When you book a session, we collect:
- Your name, email address and mobile number
- The service, date and time you have booked
- Any notes or preferences you choose to share when booking
Before your first session, we also ask for relevant health and wellbeing information, so that we can offer you a session that is safe and suitable. This may include existing medical conditions, medication, injuries, pregnancy, or emotional and mental health concerns.
When you pay online, your card, UPI or banking details are entered directly with our payment provider and are never seen or stored by us. We receive only a confirmation that the payment succeeded, the amount, and a reference number.
When you visit our website, our hosting provider records standard technical information such as your device type, browser and approximate location. This is used to keep the site running and secure.
Health information
Health and wellbeing information is treated as confidential. It is used only to prepare for and conduct your sessions safely.
What you discuss during a session stays between you and your practitioner. We will not disclose it to anyone else without your explicit permission, other than in the rare circumstance where we are required to do so by law or where there is a serious and immediate risk to your safety or someone else’s.
Why we collect it
- To confirm and manage your booking
- To send you confirmations and reminders by email and WhatsApp
- To prepare a session that is appropriate for you
- To process your payment and issue receipts
- To meet our tax and record-keeping obligations
We do not sell your information to anyone, and we do not use it for advertising.
Who else sees it
To run the practice we use a small number of trusted service providers, each of which sees only the minimum needed to do its job:
- A booking system, which stores your booking and contact details
- A payment provider, which handles your payment securely
- A messaging provider, which delivers your WhatsApp confirmations and reminders
- An email provider, which delivers confirmations and receipts
- A calendar service, which holds the time of your appointment
- Our website host and our accountant, where required
These providers are bound to protect your information and to use it only on our instructions. Some of them operate servers outside India.
Marketing messages
We will only send you offers, newsletters or updates if you have asked to receive them. You can stop receiving them at any time by replying to any message or writing to us. Booking confirmations and reminders are not marketing and will continue for as long as you have an active booking.
How long we keep it
Booking and payment records are kept for as long as required under Indian tax and accounting law, which is currently eight years. Health information is kept for as long as you remain a client and for three years afterwards, so that we can care for you properly if you return. After that it is securely deleted.
Keeping it safe
Access to your information is limited to the proprietor and, where strictly necessary, to service providers acting on our instructions. Our website uses a secure encrypted connection. Health information is not shared over ordinary messaging and is not discussed with anyone outside the practice.
Your choices
You may at any time:
- Ask us what information we hold about you
- Ask us to correct anything that is wrong or out of date
- Ask us to delete your information, where we are not required by law to keep it
- Withdraw your consent, understanding that we may then be unable to offer you sessions
- Nominate someone to act for you if you are unable to do so yourself
Write to us using the details below and we will respond within 30 days.
Cookies
Our website uses a small number of cookies that are necessary for it to work, for example to keep your booking details as you move through the steps. We do not use cookies to track you across other websites.
Children
Sessions for anyone under 18 must be booked and consented to by a parent or legal guardian, who will also be asked to provide the health information.
Changes to this policy
If we change how we handle your information, we will update this page and change the date at the top. Please check it from time to time.
